PRO Export Instructions

These instructions guide you through submitting claims to various Performance Rights Organizations (PROs) for missing streaming royalty payments.


SACEM

Reporting Schedule

  • Annual Reporting: Reports are submitted once a year, in July, covering missed payments from the previous year (e.g., 2025 submissions cover 2024 or earlier).
  • Claims Sheet Status: If you don’t see a “Create Claims Sheet for 2024” button, the claims sheet has already been created.

Submitting Claims

  • If you have more than 50 line items in the export, split into multiple spreadsheets with no more than 50 each, labeling them A, B, C, etc.
  • Before submitting the claims sheet, send the cue sheets to: depot.vod.svod@sacem.fr
  • You can submit your claims sheet to verification@sacem.fr
  • It is your responsibility to follow up with SACEM to confirm receipt of your claim and request payment adjustments.

GEMA

Reporting Schedule

  • VOD Claims Submission: Submit Video on Demand (VOD) claims in April and October each year, after receiving the corresponding payments.
  • Payment Schedule: Payment periods are pre-programmed per streamer, following the schedule provided by GEMA.

Submitting Claims

  • Do not make any changes to the Excel spreadsheet, including its European date format (dd/mm/yyyy). Any modifications will render it unusable for GEMA’s claims uploader.
  • Upload the .xlsx file from your GEMA account:
    1. Go to gema.de
    2. Navigate to “services”
    3. Select “claims”
    4. Choose “not received payment”
    5. Select “online”
    6. Choose “video-on-demand”
    7. Click “Claim form (Excel version for uploading)”
  • It is your responsibility to follow up with GEMA to confirm receipt of your claim and request payment adjustments.

IMRO

Reporting Schedule

  • Biannual Reporting: Reports are submitted twice a year, in January and July, covering missed payments from the previous year (e.g., 2025 submissions cover 2024 or earlier).
  • Claims Sheet Status: If you don’t see a “Create Claims Sheet for 2024” button, the claims sheet has already been created.

Submitting Claims

  • IMRO only pays on the top 500 streaming titles per streamer.
  • You can submit the claims sheet via your account:
    1. Go to imro.ie
    2. Navigate to “help desk”
    3. Click “Open a new support request”
    4. Complete the subject and description
    5. Select “Distributions” as Claims Type
    6. Upload the claims form
  • It is your responsibility to follow up with IMRO to confirm receipt of your claim and request payment adjustments.

PRS / MCPS

Reporting Schedule

  • Biannual Reporting: Reports are submitted twice a year, in January and July, covering missed payments from the previous year (e.g., 2025 submissions cover 2024 or earlier).
  • Claims Sheet Status: If you don’t see a “Create Claims Sheet for 2024” button, the claims sheet has already been created.

Before Submitting Claims

  • Check your export against the PRS cue sheet database:
    1. Login to your account at prsformusic.com
    2. Navigate to “search cue sheet database”
    3. Select “search cue sheets”
    4. Click the “cue sheets” tab
    5. Select a way to search for the cue sheet
    6. Once you find the cue sheet, confirm that they have your correct registration (collecting both PR and MR shares) attached to the cue
  • If the cue sheet is missing from the database, or there’s another issue with the cue sheet, you can email a copy to searchcuesheets@prsformusic.com

MCPS-Specific Requirements

  • Claims Report Compilation: The MCPS claims report is generated by reconciling PRS and MCPS royalty data, highlighting claims where you received payment from PRS but not from MCPS.
  • Membership and Royalties: To collect mechanical royalties, you must be an active MCPS member, and your registrations must have Mechanical Royalty (MR) collection shares greater than zero.
  • Handling Multiple Registrations: If a cue is linked to a registration without an MR share, you must merge your registrations and ensure the cue is attached to the correct tunecode that includes an MR share. This must be completed before submitting claims.

Submitting Claims

  • Note: You need to submit claims for PRS and MCPS separately, even though they use the same website.
  • You can submit the claims sheet via your account:
    1. Go to prsformusic.com
    2. Navigate to “my open cases”
    3. Select “raise a case”
    4. Choose “royalties & payments”
    5. Select “missing payment”
    6. Choose “digital/online/streaming”, then click “next”
    7. Complete the subject and description
    8. Upload the claims form
    9. If any cue sheets are missing, you can upload them here too
  • It is your responsibility to follow up with PRS/MCPS to confirm receipt of your claim and request payment adjustments.

SOCAN

Reporting Schedule

  • Biannual Reporting: Reports are submitted twice a year, in January and July, covering missed payments from the previous year (e.g., 2025 submissions cover 2024 or earlier).
  • Claims Sheet Status: If you don’t see a “Create Claims Sheet for 2024” button, the claims sheet has already been created.

Submitting Claims

  • Log in to your account to search and download cue sheets:
    1. Go to socan.ca
    2. Navigate to “My Catalogue”
    3. Select “My AV Catalogue”
    4. Here you can search all the AV titles (cue sheets) with your music on them
    5. View them online, or download as PDF, CSV, Excel, or print
  • If any cue sheets are missing or incorrect, email a copy to members@socan.ca
  • Submit your claims sheet by email to members@socan.ca
  • It is your responsibility to follow up with SOCAN regarding the payment adjustments on your claims submitted.
